Tent Rental Process

At Ideal, tents are our specialty! 

However, we also understand that the idea of renting a tent large enough to accommodate several hundred of your closest family, friends, or colleagues is likely a foreign (and potentially overwhelming!) process for many of our customers.

With that in mind, we’ve worked to develop a simple and streamlined process for our tent rentals:

1. Tent Questionnaire

Through a series of short questions, customers are prompted to provide our staff with the necessary information to help select the ideal tent for each event. Fill out our Tent Questionnaire here.

2. Estimate

After a customer has submitted their completed questionnaire, our team compiles a cursory estimate, based on a cost-per-person analysis. This estimate provides a ballpark figure for customers to consider. If a tented event is still within the customer’s budget, our team will proceed to Step No. 3...

3. Quote

Our team then assembles an itemized quote reflecting the costs for all requested rentals and services for the customer to review. This is typically followed with an in-person, phone, or virtual meeting to discuss all line items, answer any questions, and tweak the details of the quote to reflect a customer’s wishes.

4. CAD Rendering

Once the contract is signed and a 25% retainer has been put down, the real fun begins! Provided with most tent rentals, these to-scale diagrams illustrate the layout of the tent interior, help to determine the appropriate size and flow for the tent, and provide a precise blueprint for the customer or our field crew on the day of the event. Our CAD renderings provide a fun “sneak peek” of the tent before the big day, and help to ensure that everything will look exactly as imagined!

5. Locates & Inspections

For any tent that requires staking into the ground, we call in locates for all public underground facilities the week of the event, as well as schedule a fire inspection with the fire marshal for any tents that meet this requirement.

6. Install

On the day of the scheduled install, our field crew will arrive at the pre-arranged time listed on the contract to professionally and efficiently set up and install the tent and rentals — precisely as designed in the CAD. This is where the vision comes to life!

7. Strike

Following the event, at the pre-arranged time listed on the contract, our field crew will arrive to execute a quick and orderly strike of the tent and rentals. We aim to leave the site as tidy as possible — leaving only the memories of your event for you to enjoy!
